Meeting notes for consultants
Turn a client discussion into a clear record of scope, decisions, open questions, and follow-up tasks with this worked example.
Leave the call with a shared understanding
A client meeting can mix requirements, ideas, approvals, and questions in the same conversation. Your follow-up should make it easy to see what was agreed, what remains open, and who needs to do something next.
Before the call, write down the client goal and the decisions you need. If you use Drushya, agree on recording and online processing with the client, then start the Windows recorder. Focus on clarifying the discussion rather than writing every sentence.
A worked example: a discovery call
The following fictional example shows a consultant and client discussing a website project. It is an illustrative follow-up, not a customer testimonial or an actual Drushya output.
Client goal: Make it easier for visitors to request a product demonstration.
Agreed scope: Review the homepage and demo request form. The customer portal is outside this review.
Decision: Use the existing brand assets for the first proposal.
Client action: Alex will send the brand files by Tuesday, 6 October.
Consultant action: Sam will send a proposal by Friday, 9 October, assuming the files arrive on Tuesday.
Open question: The client still needs to confirm who will approve the proposal.
The dependency matters: Sam's date assumes Alex sends the files on time. Keeping that detail in the notes gives both people a reason to revisit the schedule if the input arrives late.
Review the Drushya notes in three passes
- Check the summary for scope. Separate agreed work from possible additions. An idea discussed in a call is not automatically an approved deliverable.
- Check the transcript for commitments. Verify dates, amounts, names, and conditional statements. Ask the client to clarify anything unresolved.
- Check the tasks for ownership. Make sure each task names the person who agreed to act. Keep unassigned work visible as an open question.
Drushya prepares the transcript, summary, and tasks after the recording is processed online. Review and edit the notes, then compose your client follow-up using your usual email or project tool.
A follow-up you can adapt
Thanks for today's discussion. We agreed to review the homepage and demo request form using the existing brand assets. Alex will send the files by 6 October; Sam will send the proposal by 9 October, subject to receiving those files on time. Please confirm who will approve the proposal, and let me know if I have misunderstood any of these points.
Before the next call, revisit the open questions and unfinished tasks. Keep the previous decisions available so the client can see what changed and why.
